Manage stakeholders

You can organize, view, and manage all the people who need to stay informed during incidents or service changes from the Stakeholders tab.


View and search stakeholders

The main table lists all stakeholders, showing their Name, Group, and Status (e.g., Active, invited, not invited). Use the Search bar at the top to quickly find a stakeholder by name or email. If you see any email addresses displayed as private email addresses, it is due to the user's personal access settings. Org admins can view the email addresses from Atlassian Administration.

Filter stakeholders

Select Filter to narrow down the list by:

  • Status: Active, invited, or not invited

    - Active implies that the stakeholder is already part of the site.

    - Invited implies that the stakeholder is already invited and will start receiving the updates once they validate their emails.

    - Not invited implies that the admin is unable to invite the stakeholders due to some technical issues. The org admin will have to update the access settings of the app to allow invites from anyone. To update the settings, go to Apps in your site >App access settings. Select the preferred app and update the existing user permissions to Invite anyone from the menu.

  • Type: Internal or External

You can select multiple filters to refine your view. If a stakeholder’s status is not invited, it's recommended to add the stakeholder again.

Delete stakeholders

  1. In Jira Service Management, go to Operations and then Communications.

  2. In the Stakeholders tab, select the More (…) button under Actions for a stakeholder. Select Remove to remove them from the list.

If the stakeholder's status is “Invited,” you can only edit them, delete them, or resend the invite.

Bulk actions for stakeholders

You can add or delete multiple stakeholders at the same time:

  1. In Jira Service Management, go to Operations and select Stakeholders.

  2. In the Stakeholders tab, select multiple stakeholders.

  3. Once you select multiple stakeholders, a selection bar appears at the bottom of the screen, where you can select Create group to add multiple stakeholders.

    1. Stakeholder group name: Give a clear, descriptive name for the group. The character limit is 100 characters or fewer.

    2. Members: Add more stakeholders if you want by searching for their names or emails.

    3. Avatar (optional): Choose an icon to represent the group.

    4. Description: Add a short description explaining the group’s purpose. The character limit is 360 characters or fewer.

    5. [作成] を選択します。

  4. From the selection bar, select Remove to remove them in bulk.
