Use email domains to automatically group customers into organizations

Use email domains to automate and streamline the process of managing customers in Jira Service Management. By managing email domains within an organization, you can effortlessly group customers into respective organizations. When a customer with a matching email domain is added to a service project, they seamlessly become part of the customer organization.

What happens when you add an email domain to an organization

If your site includes a customer organization called "Acme" with the email domain acme.org added to it, any new customers who use an email address on that domain, such as user@acme.org, will be automatically added to the organization.

The addition of a domain to an organization will not impact existing customers. Only new customers and accounts with updated customer permissions will be assigned to the organization.

What happens when you remove an email domain from an organization

Removing a domain association will not result in the removal of customers from the organization; it will simply prevent new customers from being added.

Manage an organization’s email domains from a project

Who can do this?

  • Agents
    When the option Yes, agents can add and remove organizations from projects, and add and remove customers from organizations is enabled in Product settingsJira Service Management > Configuration > Organization management.

  • Project admins

To manage a customer organization’s email domains in a service project:

  1. From your service project, go to Customers.

  2. Select the organization you want to manage from the list.

  3. Select the more actions > Manage email domains.

  4. Type in the email domains you’d like to add to the organization; for example acme.org. You can add up to 10 email domains to one organization.

  5. To remove any email domains, select Remove.

To manage a customer organization’s email domains when you have the Customer service management feature enabled in your project:

  1. From your service project, go to Organizations.

  2. Select the organization you want to manage from the list.

  3. Select the more actions > Manage email domains.

  4. Type in the email domains you’d like to add to the organization; for example acme.org. You can add up to 10 email domains to one organization.

  5. To remove any email domains, select Remove.

Who can do this?

  • Site admins

  • Jira product admins

To manage email domains for organizations in Jira Service Management:

  1. Navigate to Settings > Products

  2. Under Jira Service Management select Organizations.

  3. Select the organization you want to manage from the list.

  4. Select the more actions > Manage email domains.

  5. Type in the email domains you’d like to add to the organization; for example acme.org. You can add up to 10 email domains to one organization.

  6. To remove any email domains, select Remove.
