Hide topics and portals from the home page
You may not want to show all topics or portals to customers in your help center. For example, some topics or service spaces might contain sensitive information, be used for testing or evaluation, or only be relevant during certain times of the year. In other cases, you may want customers to raise requests to specific service spaces only by email, rather than through the help center.
In these situations, you can hide topics or portals from the help center home page.
You need to be a Jira admin to manage the visibility of portals and topics in the help center home page.
To hide a topic or portal:
Go to Settings (), then Apps, then Jira Service Management, and then Configuration.
In the Help center section, select View all help centers.
Select the help center of your choice.
Select the help center of your choice.
Once in the help center, select Customize from the top navigation, and from the dropdown, select Manage topics and portals.
Once you’re in the Manage topics and portals page, hover over the topic or portal you want to hide and select the Hide from home page icon. Remember that doing this doesn’t hide this portal or topic from the home page yet.
Select Publish layout to hide the portal or topic from the home page.
You can revert to the last published version of the home page by selecting Cancel. You’ll lose all the changes you’ve made up until then. Portals or topics you may have hidden in that session will continue to be visible in your help center.
All Jira admins can see and manage hidden portals and topics in the Manage topics and portals page. Currently, these portals and topics will show up in search results, and will also be visible to users who access them via their direct URLs.
To remove a portal and help resources from it, and ensure that they do not show up in the help center, in topics, and in search, you can unlink the service project from your help center.
To make a hidden portal or topic visible in your home page:
Go to Settings (), then Apps, then Jira Service Management, and then Configuration.
In the Help center section, select View all help centers.
Select the help center of your choice.
Once in the help center, select Customize from the top navigation, and from the dropdown, select Topics and portals.
Once you’re in the Manage topics and portals page, go to the Hidden section under Topics or Portals.
Select the Show in home page icon on the hidden portal or topic of your choice. Remember that doing this doesn’t make the portal or topic visible in the home page yet.
Select Publish layout to show the portal or topic in your home page.
You can revert to the last published version of the home page layout by selecting Cancel. You’ll lose all the changes you’ve made up until then.
Feature and organize portals in the home page
You can help customers self-serve by featuring relevant portals at the top of a help center’s home page. This is especially useful for promoting portals that are business-critical or are commonly used by customers. You can feature up to 15 portals in a help center.
You need to be a Jira admin to feature portals in a help center.
To feature specific portals on the home page:
Go to Settings (), then Apps, then Jira Service Management, and then Configuration.
In the Help center section, select View all help centers.
Select the help center you want to edit.
In the help center, select your avatar, then select Topics and portals.
On the Manage topics and portals page, select the star icon next to a portal to feature it on the home page.
Reorder portals in the featured section using drag and drop.
Sort the remaining portals by popularity or name.
If you sort by popularity, portals are displayed from most popular to least popular. Popularity is calculated based on average daily portal requests in the last 90 days.
If you sort by name, portals are displayed in alphabetical order.
Select Publish layout to make your changes visible in the help center.
Select Cancel to discard your changes and revert to the last published version of the home page layout.
Once you publish the layout, featured portals will be prominently displayed on the home page, followed by the remaining portals sorted based on your choice. New portals that are added to your Jira Service Management site will be automatically sorted based on your selection in the Manage topics and portals page.
Your customers will only see portals they have permission to view. Read more about managing customer permissions.
