Configure Advanced Searches

Assets Data Manager for Jira Service Management Cloud is currently rolling out in Open Beta and will be available to all Premium + Enterprise sites by end of October 2024.

This task requires Data Manager admin permissions to complete. How permissions and roles work in Data Manager.

View Advanced Searches

To view Advanced Searches:

  1. Select Assets from the dropdown in Jira Service Management.

  2. In the Assets landing page, select Data Manager at top-right, next to Settings.

  3. Select Analysis in the left sidebar.

  4. From the list of records, select the search icon next to the object list you wish to view.

  5. In the Saved searches screen, select between Public Saved Searches and My Private Saved Searches to view public or private saved searches.

To create an advanced search:

  1. Select Assets in the top navigation bar.

  2. In the Assets landing page, select Data Manager at top-right, next to Settings.

  3. Select Analysis in the left sidebar.

  4. From the list of records, select an Object list.

  5. In the top bar, select Advanced search.

  6. Select one or more Groups for your search.

  7. Select one or more Conditions within each group.

  8. When you have structured your advanced search, select Search to run the query.

If you wish you can save an advanced search to create Dashboards or other actions in the future.

To save an advanced search:

  1. Select Assets from the dropdown in Jira Service Management.

  2. In the Assets landing page, select Data Manager at top-right, next to Settings.

  3. Select Analysis in the left sidebar.

  4. From the list of records, select an Object list.

  5. In the top bar, select Advanced search.

  6. Select one or more Groups for your search.

  7. Select one or more Conditions within each group.

  8. Select the dropdown adjacent to Search and select Save as a new search.

  9. In the Save search panel:

    1. Enter a Name for your saved search.

    2. Select either Public or Private access for your saved search.

    3. Select Save.

To edit an advanced search that you have saved:

  1. Select Assets from the dropdown in Jira Service Management.

  2. Select Data Manager in the left sidebar.

  3. Select Analysis in the left sidebar.

  4. From the list of records, select an Object class and click on the Search icon to the left.

  5. In the Saved searches screen, select a saved search by clicking on the title of the saved search.

  6. Click on Advanced search, at top.

  7. Modify any of the Groups, Group Conditions, etc., within that Advanced Search.

  8. Select the expand icon next to the Search button at bottom.

  9. In the search results screen, select Advanced search, at top.

  10. Edit the existing search as needed.

  11. When you have finished editing, select the dropdown next to Search and choose either:

    1. Save as a new search - keep the old search and save your edited version as a new search.

    2. Update search - overwrite the existing search with your edited version.

To delete an advanced search:

  1. Select Assets from the dropdown in Jira Service Management.

  2. Select Data Manager in the left sidebar.

  3. Select Analysis in the left sidebar.

  4. From the list of records, select an Object class and click on the Search icon to the left.

  5. In the Saved searches screen, select a saved search by clicking on the title of the saved search.

  6. Select the Delete icon.
