Change the status of multiple work items
You can change the status of multiple work items at once.
You need to have the relevant project permissions to transition work items.
Change the status of multiple work items from the backlog
You can only change the status of multiple work items from the backlog if you’re in a software project.
To transition multiple work items from the backlog:
Select multiple work items from the backlog. You can either:
use the checkboxes
hold Ctrl (Windows) or Command (Mac) while selecting work items
hold the Shift key to select a group of adjacent work items
Once you’ve chosen the work items you’d like to edit, select Edit, then Status.
Select a status from the dropdown. If your selected work items don’t share the same statuses or transitions, this will open the bulk edit sidebar. Work items from the same workflow will be grouped together and you can select a new status for each group.
Change the status of multiple work items from the board
You can only change the status of multiple work items from the board if you’re in a software project.
To transition multiple work items from the board:
Select multiple work items from the board. You can either:
hold Ctrl (Windows) or Command (Mac) while selecting work items
hold the Shift key to select a group of adjacent work items
Drag the work items into the column corresponding to the new status. If you are unable to move the work items using this method, complete the following steps.
Right-click or select More actions (•••) on one of the selected work items, then select Bulk change.
Select Transition work items and then Next.
Select the available workflow action. The actions available are dependent on the work items (and their associated workflows) that you have selected. Select Next.
Select a value for any required fields for this transition, and if available, decide whether you'd like to send email notifications. Select Next.
Review your changes and select Confirm, then Acknowledge.
Change the status of multiple work items from the All work tab in project navigation
To transition multiple work items from the All work tab in project navigation:
Adjust the search criteria to show the appropriate list of work items.
Select Import and bulk change work items (•••) and choose Bulk Change all <n> work items.
Select the work items you'd like to perform the bulk operation on, and select Next.
Select Transition work items and then Next.
Select the available workflow action. The actions available are dependent on the work items (and their associated workflows) that you have selected. Select Next.
Select a value for any required fields for this transition, and if available, decide whether you'd like to send email notifications. Select Next.
Review your changes and select Confirm, then Acknowledge.
