Manage access and share a form

Only people with project admin permissions can create and share forms.

Once you’ve finished creating a form in Jira, it’s time to share it with the right people. You can share a form with specific people or teams that have access to Jira, or you can share it with anyone online. Make sure you’ve set the right access level before you share a form with others.

Selecting an access level for your form will determine who can view and submit a response. There are three access levels you can choose from:

  • Limited access: Only people with permission to create work items in your project.

  • Open access: Only people with a Jira license who are able to log in to your Jira site.

  • Public access: Anyone online with the link can submit a response to the form. (This option won’t be available if an admin has disabled public access on your Jira site.)

To manage the access level for a form:

  1. Select Forms from the project menu.

  2. Select the form you’d like to edit.

  3. Select Access ()

  4. Select Limited, Open, or Public.

Share the form

Once you’ve selected an access level for a form, you can go ahead and share it. Whenever somebody submits a response to the form, it will be converted to a work item in your project. The ID of the form will be shown as a label on the work item.

To share a form:

  1. Select Forms from the project menu.

  2. Select the form you’d like to share.

  3. Select Share ()

  4. Enter the email addresses of the people you'd like to share your form with and select Share. Or, select Copy link and paste the link anywhere you’d like to share it.

Public access requirements

When you select public access for a form, you’ll be asked for a few extra details.

  • You must select a default reporter. This person will be the Reporter for any work items created from responses to the form.

  • A mandatory field will be added to your form to collect the Email address of anyone who submits a response. This email address will appear in a comment on the work item, along with a link to the form.

  • Some fields will be restricted because they may contain sensitive or confidential data. You won’t be able to add a restricted field to a form with public access, and if you’ve already added a restricted field, it won’t be shown to anyone who views or responds to the form. Restricted fields include:

    • 担当者

    • 添付ファイル

    • ユーザー

    • チーム

    • Sprint

    • Project

    • ラベル

    • 修正バージョン

Turn public access on or off

Public access for forms can be turned off by an organization admin, site admin, or Jira admin. There are separate settings for team-managed projects and company-managed projects.

To turn off public access:

  1. Select Settings () from the main navigation in Jira.

  2. Select Products.

  3. Select Jira configuration from the side menu.

  4. Use the toggle for Public forms sharing to turn the feature on or off.
