Subscribe to Team Calendars from Microsoft Outlook

There are two ways to synchronize Team Calendar in Microsoft Outlook:

  • Two-way sync (CalDAV) - allows you to view and update Team Calendar events in Outlook.

    • Requires Team Calendars (available with Confluence Premium).

  • One-way sync (iCal) - allows you to view — but not update — Team Calendar events in Outlook.

Subscribing with two-way sync (CalDAV)

Two-way synchronization allows you to view and update Team Calendar events in Microsoft Outlook.

You will need the following:

To get your Confluence API token:

  1. Select your profile picture in the Confluence top nav > Settings

  2. Under YOUR SETTINGS, select Password

  3. In the API token section, select the link Create and manage API tokens

  4. Select Create API token

  5. Name your API token, select Create, and then select Copy.

Pro tip: paste this somewhere safe because you won’t be able to copy this again later. You can always create a new token, though.

To get your Confluence Cloud server address:

  1. In the Confluence top nav, choose Apps > Calendars.

  2. Select the the More actions menu () for your calendar in the side nav and choose Subscribe.

  3. In the Calendar app dropdown, select Microsoft Outlook (Windows desktop).

    • If prompted, add the calendar to My Calendars. If you don’t add it to My Calendars, it won’t sync.

  4. Copy the server address.

    1. Because Microsoft Outlook supports calendar discovery, this will be your server address, not the URL of an individual calendar. You'll be able to choose which calendars (that you've added to My Calendars) to sync in the app.

To subscribe to a Team Calendar in Microsoft Outlook:

  1. If Outlook is open, close it.

  2. Download and install CalDAVSynchronizer.

  3. Open Microsoft Outlook.

  4. You should see a new tab called CalDav Synchronizer. In this tab, select Synchronization Profiles.

  5. In the toolbar that appears, select .

  6. Select Generic CalDAV / CardDAV from the Profile type screen. 

  7. Set up the profile:

    1. In the Name field, give the profile a name.

    2. In the Outlook folder field, select or create a calendar profile.

    3. In the DAV URL field, paste the server address.

    4. In the Username field, use your Confluence username (the email address associated with your account).

    5. In the Password field, paste the API token you created earlier.

    6. In the Email address field, use the same email you used in the Username field.

  8. Under the Email address field, select Test or discover settings to bring up options for which Team Calendar you want to sync.

  9. Select OK.

Subscribe with one-way synchronization (iCal)

One-way synchronization means that you can view — but not update — Team Calendar events in Microsoft Outlook. 

To subscribe with one-way synchronization:

  1. Open Confluence.

  2. In the top nav, choose Apps > Calendars.

  3. Select the the More actions menu () for your calendar in the side nav and choose Subscribe.

  4. In the Calendar app dropdown, select iCal or Microsoft Outlook (browser).

  5. Copy the server address.

  6. Open Microsoft Outlook.

  7. In the Home tab, select Add (far right, next to Share) > From Internet.

  8. Paste the server address.

  9. Select OK.

You can now view — but not edit — Team Calendar events in Microsoft Outlook.
