Rovo in Confluence whiteboards
Whiteboards aren’t available in Atlassian Government environments.
Rovo acts as a virtual teammate in your Confluence whiteboards, helping you bridge the gap between unstructured brainstorming and structured documentation. Use Rovo to generate ideas, create diagrams, and organize your content to move projects forward faster.
Rovo respects your existing permissions and can reference context from other Atlassian apps, like Jira, to provide more relevant suggestions.
Before you begin
To use Rovo in whiteboards, an org admin must activate Rovo for your site.
The Rovo panel
Use the Rovo panel to interact with AI and manage your whiteboard content. Located at the bottom-right of your whiteboard, the Rovo button opens the Rovo panel.
Quick actions: At the top of the panel, you can select options such as Generate diagram, Explore ideas, Summarize what I'm looking at, What should I work on next?, and Identify any key action items or decisions captured in this whiteboard. These options may shift based on Rovo’s analysis of your whiteboard.
Context: Shows the current focus of Rovo – your whiteboard.
Input box: Use this to "Ask, @mention, or / for actions" to give Rovo specific instructions.
Connected apps: At the bottom of the panel, you can find icons for Jira, Calendar, Slack, and Trello to pull in external context.
Auto: Select this option to change how Rovo answers.
Ways to use Rovo in whiteboards
Rovo helps teams move from ideation to execution by grounding AI suggestions in your organization's unique knowledge.
Brainstorming and idea generation
Rovo helps teams overcome the "blank canvas" problem by generating initial content based on organizational knowledge.
Kickstart sessions: Use a prompt like "Create a whiteboard template for user research" to have Rovo generate relevant sticky notes based on your team's previous research in Confluence.
Contextual brainstorming: Link a Product Requirements Document (PRD) to your prompt, and Rovo will incorporate that specific context into the generated ideas.
Sprint and quarterly planning
Rovo can programmatically structure planning boards by querying your project data.
Automated board setup: Ask Rovo to "Create a planning whiteboard for Project Atlas with our current epics arranged by priority." Rovo will query Jira and arrange epics into priority swimlanes with assignee labels and status colors already applied.
Brainstorm-to-action: After a planning session, you can bulk-convert sticky notes into Jira issues. The sticky notes are replaced by live Jira issues (displayed as cards) linked directly to Jira.
Visualizing complex systems
Rovo can turn plain text descriptions into structured visual diagrams.
Architecture diagrams: Prompt Rovo to "Create an AWS diagram for an event-driven architecture" to generate a technical flowchart.
Process mapping: Use prompts like "Plot an email drip campaign flow" to create mind maps or flowcharts that visually organize marketing or operational processes.
Post-meeting synthesis
Rovo helps transition from a collaborative session to a formal record.
Retrospective conversion: After a sprint retro, ask Rovo to "Turn our retro notes from today's Confluence page into a whiteboard." Rovo will create a three-column board (What went well / What didn't / Action items) and populate it with appropriately colored sticky notes.
Action item extraction: Use the Rovo panel to "Identify any key action items or decisions captured in this whiteboard" to ensure nothing is lost after the session ends.
Get help with sticky notes
You can use Rovo to group existing ideas or generate new ones based on what's already on the board.
To group similar items:
Select two or more sticky notes on your whiteboard.
Select Ask Rovo in the floating toolbar.
Prompt Rovo to group or organize your sticky notes.
To generate new ideas from a single item:
Select a sticky note.
Select Ask Rovo in the floating toolbar.
Prompt Rovo to add more related sticky notes.
Summarize a whiteboard
When your brainstorming session is complete, Rovo can summarize the entire board and help you transition to a structured document.
To summarize your whiteboard:
Select the Rovo button at the bottom-right of the screen.
Select Summarize what I'm looking at.
Select Create page to turn the summary into a new page, or select Copy summary to paste it elsewhere.
The new page will contain the structured summary, allowing you to share the outcomes of your whiteboard session with the wider team.
