We’re renaming ‘products’ to ‘apps’

Atlassian 'products’ are now ‘apps’. You may see both terms used across our documentation as we roll out this terminology change. Here’s why we’re making this change

Review discovered apps

Who can do this?
Role: Organization admin
Atlassian Cloud: Atlassian Guard Standard
Atlassian Government Cloud: Not available

Discovered apps (or Shadow IT) is what we call it when managed account users sign up for apps on their own. On the Discovered apps screen, you’ll find an overview of the apps they’ve signed up to, and can administer outside of your organization. From there, you can take actions to manage these shadow instances. What is the impact of shadow IT on my organization?

The Discovered apps screen showing a table with five columns for app, user count, created on, last active, and actions.

To view details of discovered apps:

  1. Go to Atlassian Administration. Select your organization if you have more than one.

  2. Select Security > Discovered apps.

Apps appear in this list when:

  • Your managed account starts a new Confluence or Jira app.

  • Your managed account started a new Confluence or Jira app before you verified your domain and claimed their account.

Apps do not appear in your Discovered apps when your managed account signed up for the app with an email address that your organization doesn’t manage. This means they changed their email before you verified your domain and before they became a managed account.

This table includes more details about the information you see on the Discovered apps page.

Column heading

Details

App

The app name and URL. You can filter by app using the All apps dropdown menu.

User count

The number of users with access or an invitation to the app. This number may include:

  • Users that are managed accounts of your organization

  • Users that have been deleted, deactivated, or haven’t logged in recently

  • System users created for Marketplace apps or integrations

Created on

The date the app was created.

Last active

The last date any user was active.

Actions ()

Options you can select:

  • Join as admin – Gives you organization admin permissions to manage this and any other apps under the same organization. This includes access to view billing details. Once you join as admin, you have options to open the organization or the app.

  • View organization admins - Opens a window with a list of organization admin names and their emails.

  • Copy row to clipboard – Copies all details in the row.

If your managed accounts are removed as organization admins, the app remains a discovered app but there won’t be any admins to contact - so View organization admins won’t appear, and you also won’t be able to Join as admin.
