Manage the glossary

In the context of Insights, the glossary is a curated collection of terms that gives everyone in your organization a shared, authoritative understanding of the data they work with. This can include terms used by your team or organization, as well as specific definitions used in the business. Think of it as a resource that provides definitions and metadata for terms within your organization.

Admins and users can create and enrich terms in their site’s glossary.

The terms you include in your glossary can:

  • Improve the accuracy of your Rovo results by using clear terminology, related terms, and definitions for each added term.

  • Enable data transparency by making it easier for your team to share an understanding of each term.

Create a glossary term

To create a term in the glossary:

  1. In the side panel, select the plus sign (+) next to Glossary. Alternatively, you can simply select Create from the global navigation, then select Glossary.

  2. Enter your glossary term and its description. You can select Show details (ⓘ) to add details such as owners and tags.

  3. Select Create term.

Enrich a glossary term

You need to be an admin to edit terms in the glossary.

Enriching your glossary term involves adding more details about it, which will help you improve its quality, usage, and findability.

To enrich a term:

  1. In the side panel, go to Glossary and select View all glossary terms.

  2. Use the search bar to find the term you need, then select it.

  3. You can update the term and its definition here. You can also add synonyms, related entities, and additional documentation to support the term.

  4. Select Show details (ⓘ) to view and edit the properties and metadata for the glossary term.

Export a glossary term

You need to be an admin to export terms from the glossary.

You can export a term as a CSV, JSON, or PDF. To export a term:

  1. In the side panel, go to Glossary and select View all glossary terms.

  2. Use the search bar to find the term you need, then select it.

  3. Select More actions (⋯) to see export options.

  4. Select Export CSV, Export JSON, or Export PDF.

Modify glossary terms in bulk

You need to be an admin to modify terms in the glossary.

You can perform certain actions on your glossary terms in bulk. This includes:

  • Setting collections and tags

  • Adding or removing owners

  • Modifying Personally Identifiable Information (PII) and verification status.

  • Deleting terms

To modify glossary terms in bulk:

  1. In the side panel, go to Glossary and select View all glossary terms.

  2. Use the search bar to find and select the terms you need to modify.

  3. A floating action bar appears at the bottom of the screen. Select the actions you want to perform.

Set permissions for a glossary term

You can decide who can access the glossary terms you’ve added by changing access permissions. To set permissions for a term:

  1. In the side panel, go to Glossary and select View all glossary terms.

  2. Use the search bar to find and select the term you want to set permissions for.

  3. Select Share and set the general access to either Open or Restricted. Additionally, you can add people to provide specific view, edit, or manage permissions.
