Review statuses per workflow

The site optimizer helps Jira administrators identify workflows approaching or exceeding the status limit and directs them to the relevant workflow for cleanup.

A workflow can have up to 200 statuses. If a workflow reaches the limit, admins can’t add new statuses until its configuration is reduced. Existing workflows and work items remain available.

This feature is available only on Jira Premium and Enterprise plans. Jira admin permissions are required.

To review status usage:

  1. Select Settings (), then select System.

  2. Select Site optimizer.

  3. In the Limits section, find Statuses per workflow, and select Review.

The Optimize statuses page shows each workflow’s name, associated schemes, limit status, status usage, and available action. You can also search for a workflow by name.

Select Review next to a workflow to open the workflow administration page.

To remove unused statuses:

  1. Find the workflow under Active workflows or Inactive workflows.

  2. Select More actions (), then select Edit.

  3. Select an unused status in the workflow.

  4. Remove its transitions if required, then delete the status.

The site optimizer won’t remove or merge statuses automatically. If a workflow is shared, changes affect every scheme and space using it. Review transitions, boards, reports, automation rules, apps, and integrations before making changes.
