We're updating our terminology in Jira

'Issue' is changing to 'work item'. You might notice some inconsistencies while this big change takes place.

Remove a status from a workflow

When a team’s process changes, you might find it necessary to update their workflow. This page describes how remove a status from a workflow.

Before you begin

You must be a Jira Cloud administrator to complete these steps. More about Jira Cloud permissions

Remove a status from a workflow

  1. Go to Jira settings, then select Work items and then Workflows.

  2. Select More […] > Copy for the workflow you want to update.

    • This will create new version of the workflow, separate from the one that’s being used, which we’ll make changes to. This copy will then become the “real” version in step 6.

  3. Select the status you want to remove and select Remove status.

  4. In the left-hand menu, under Workflows, select Workflow schemes.

  5. Find the workflow scheme that your workflow is using, and select Edit.

  6. Select Add Workflow > Add Existing and find the name of the copied workflow. Follow the prompts to map work types to the new workflow.

  7. Select Publish.

Things to remember

  • We highly recommend backing up your workflow before publishing any changes, just in case something goes wrong.

  • Workflows can be used by multiple projects. Be mindful of which projects are using this workflow, so you don’t introduce unintended changes.

  • Teams don’t get notified when a status is removed from a workflow, which can be confusing for them. We recommend informing your teams whenever you do this, so they understand what has changed and why.

  • The audit log will show that someone updated the workflow, but won’t show any specific details about the update (i.e. what status what removed).

  • Deleting a status isn’t the same as removing it from a workflow.

    • Removing a status from a workflow simply means the workflow will no longer use that status.

    • Deleting a status will permanently remove it from every workflow that uses it throughout the whole Jira instance.
