Review workflows per space

The site optimizer helps Jira administrators identify workflow schemes approaching or exceeding the workflow limit and directs them to the relevant scheme for cleanup.

A workflow scheme can contain up to 150 workflows. If a scheme reaches the limit, admins can’t add workflows until its configuration is reduced. Existing workflows and work items remain available.

This feature is available only on Jira Premium and Enterprise plans. Jira admin permissions are required.

To review workflow usage:

  1. Select Settings (), then select System.

  2. Select Site optimizer.

  3. In the Limits section, find Workflows per scheme, and select Review.

The Optimize workflows page shows each scheme’s name, associated spaces, limit status, workflow usage, and available action. You can also search for a scheme by name.

Select Review to open the Workflow schemes page.

To reduce workflow usage:

  1. Find the affected workflow scheme.

  2. Select Edit.

  3. Remove workflow mappings that are no longer needed.

  4. Consolidate similar workflows where appropriate.

  5. Delete workflows that are no longer referenced by any scheme.

The site optimizer won’t modify or consolidate workflows automatically. If a scheme is shared, changes affect every associated space. Follow the guidance shown for schemes managed internally by Jira.
