Manage space roles

Users are assigned roles, and each has a list of permissions such as creating ideas, creating views, etc. There are three roles by default, but you can create custom roles.

Administrator (Creator) has access to all the features available in the space and can manage space settings and people. Admins on a Free plan can’t create custom roles.

Creator (Creator) can do everything in the space except use features requiring administrator-specific permissions. Creators on a Free plan can’t create custom roles.

Contributors can access the space in read-only mode and contribute using enabled features: creating ideas, adding comments, insights, votes, or reactions. Contributors on a Free plan can’t create custom roles.

An admin is a licensed user with app access to Jira Product Discovery.

An admin can do everything creators do as well as:

  • Create and edit fields.

  • Create and edit workflows.

  • Create and edit types.

  • Add new users to the space.

  • + All creator permissions

  • + All contributor permissions

Can use all available features of Jira Product Discovery

  • Creator roles can do everything in the space except use features requiring space admin permissions such as creating or editing fields.

Unlicensed user who doesn't require app access to Jira Product Discovery.

Contributors can access the space in read-only mode and contribute using enabled features:

  • Create ideas

  • Adding comments, insights, votes, or reactions

Before you begin

  • You need to be a Jira Product Discovery admin to make the changes.

  • Beware that when you give someone a role, they inherit the role given by space access first and then, you can give them more permissions by adding them to the list below and granting a more generous space role.

    • In Open spaces, everyone on your Jira site is given the default creator role.

    • In Limited spaces, everyone on your Jira site is given the default contributor role.

    • In Private spaces, only Jira admins and people you add to the space have a role.

Add a new space role

  1. To create a new role go to your space > () > Spaces Settings > Access.

  2. Under Space roles select Manage roles.

  3. Select Create new role, choose the options, and click Create role.

Delete a space role

You can delete a role if you no longer need it in a team-managed space. For example, if you have two roles - lead and manager - that have the same permissions, you can delete one of these roles.

  1. From your space sidebar, select the space> () > Space Settings

  2. Select Access > Manage roles.

  3. Find the role you want to delete from the list and click .

Enable contributors to create ideas

By default, contributors can’t create ideas, but creators can enable contributors to do so.

Steps

  1. Open the needed Jira Product Discovery space.

  2. Select More actions (…) near the space name, and then select Space settings > Features > Create ideas > Allow contributors to create ideas.

  3. Select All or specific types of work from the Types contributors can create dialog.

Once the feature is enabled, contributors can create new ideas by clicking the Create button on the top navigation bar. They are prompted to write a summary and description of the idea. However, you can request additional information from the user by following the steps outlined in the next section.

Customize an idea form

You can configure the fields the users should fill in when creating a new idea. The customization of an idea form allows to capture all necessary information.

Before you begin

  • You need to be a space admin to make the changes.

To manage the types of work for contributors and configure the create form per type:

  1. Go to your Jira Product Discovert space.

  2. From the upper navigation bar, select +Create, then select Configure form.

  3. Under Allow contributors to create ideas, select All or specific types of work from the Types contributors can create dialog.

  4. Under Customize the create form for each type, select the type to configure its create form template.

  5. Under Select a view, select a view from the dropdown that reflects the views available in your space.

  6. Optionally, mark all fields as mandatory to fill in.

  7. Under Description template, select a ready template for the description field, or create a custom description template by selecting + Create a template.

Space admins can also quickly preview how contributors will see the create form by selecting the preview icon or copying a link next to each type of work.
