Access admin insights and overview
Loom provides workspace admins on Premium and Enterprise plans with tools to monitor workspace health, track ROI, and understand how your team uses Loom. Admins have access to two pages: the Overview dashboard and the Insights page.
These features are available on Premium (Business + AI) and Enterprise plans only. Admins on Starter or Business plans will need to upgrade to use these pages.
Admin Overview
The Overview page is the default landing page when you open your admin settings. It gives you an at-a-glance view of your workspace's key metrics across four sections.
How to access the Overview
Ensure you are an Admin in your Loom workspace
Click the “Overview” link in the Admin navigation
ROI Snapshot
The top of the Overview page displays three key metrics that show the value Loom is delivering to your organization. Each metric shows an all-time total and a month-over-month percentage change.
Looms Recorded - The total number of Looms recorded across your workspace.
Total Video Views - The total number of views across all Looms in your workspace.
Meetings Saved - The estimated number of meetings saved through Loom usage. This metric is calculated based on total Loom watch time across your workspace - every 10 minutes of Loom content watched is equivalent to one 30-minute meeting saved. Because Loom lets viewers consume information at their own pace, a short async video replaces a much longer live meeting.
Hover over any metric card to see more details. If your workspace is new or has limited activity, you'll see a prompt to invite users and start recording.
License Allocation
This section helps you understand how your seat licenses are being used.
Total Purchased Seats - The total number of seats included in your plan.
Total Claimed Seats - The total number of seats claimed by end users.
Active Seats (Last 30 days) - The number of seats actively used in the last 30 days.
Most Active Users
A table showing your most active workspace members over the last 90 days, including the number of videos they've created and views they've received.
Select a user to view their profile details. Select View all users to navigate to the full Users page.
To download a CSV report of usage data for all users in your workspace, select the Download button at the top right of the table. The CSV includes the following data for each user:
Email address
Account creation date
Last active date
Role
Persona
Videos viewed (L30 & L90)
Videos recorded (L30 &L90)
Total videos recorded
Total views received
Total unique views received
Monthly Active Users
At the bottom of the Overview page, a trend chart shows your monthly active user (MAU) count over the last 12 months. Use this to track whether adoption in your workspace is growing, stable, or declining over time.
Insights
The Insights page provides more detailed data about video activity and engagement in your workspace.
How to access Insights
Ensure you are an Admin in your Loom workspace
Click the “Insights” link in the Admin navigation
Available data
The Insights page includes the following:
Videos Created - A breakdown of the number of Looms recorded across your workspace over time
Videos Viewed - A breakdown of how many times Looms have been viewed over time
Top Creators - The users who have created the most Looms
Top Viewers - The users who have viewed the most Looms
You can see exact totals and dates by hovering over the graphs.
FAQ
Why don't I see the Overview or Insights pages?
The Admin Overview dashboard and the Insights page are only available to Admins on Premium (Business + AI) and Enterprise plans. If you're on a Starter or Business plan, you'll see an upgrade prompt instead.
How do I share data from the dashboard with my team?
From the Overview page, you can download a CSV of all user activity using the Download button on the Most Active Users table. For other data, we recommend taking screenshots.
How do I adjust the timeline to view data outside of the options presented?
The Insights page view cannot be adjusted outside of the preset timelines: 90 days, 1 year, and all time. For more granular filtering, we suggest downloading the Engagement Insights report. To do that, go to the Data tab on the Workspace Settings page. You can refer to this help article for a walkthrough of the steps.
What does "Meetings Saved" mean?
Meetings Saved estimates how many meetings your team has avoided by using Loom instead. The calculation is based on aggregate watch time: for every 10 minutes of Loom content watched across your workspace, one 30-minute meeting is considered saved. This reflects the efficiency of async video: viewers absorb the same information in a fraction of the time it would take for a live meeting. The month-over-month percentage shows how this number is trending.
What if my workspace shows no data?
If your workspace is new or has limited activity, you'll see empty states across the Overview dashboard with prompts to invite users or record your first Loom. Data will begin populating as your team starts using Loom.
