Set up automated meeting recording

Automated meeting recording allows the Loom Notetaker bot to join your scheduled meetings and save recordings directly to your Loom library. To use automated meeting recording, you must have a supported calendar (Google Calendar or Microsoft Outlook) and meeting platform (Zoom, Google Meet, or Microsoft Teams).

Step 1: Connect your calendar

Before you can automate recordings, you must link your calendar to your Loom account.

  1. Log in to your Loom account.

  2. From the left side menu, select Meetings.

  3. Select the option to connect your Google or Outlook calendar.

  4. Authenticate your Google or Microsoft account in the pop-up window.

    1. Note: If the pop-up window fails to open, your meeting connection will not proceed. Ensure pop-up blockers aren’t enabled.

  5. Select your recording options:

    1. Which meetings would you like to record automatically? Only available for meetings you own.

      1. All meetings: Records every scheduled meeting you own.

      2. Internal meetings: Records meetings you own where all invitees share your company’s email domain.

      3. Manually select: Allows you to choose specific meetings from your list to record.

    2. Who should receive after-meeting notifications? Send a meeting recap via email and grant access to the recording.

      1. All meeting invitees: Everyone who was added to the meeting invite will receive a meeting recap and be granted access to view the meeting recording.

      2. Only internal invitees: Only invitees who share your company’s email domain will be sent a meeting recap and have access to the meeting recording.

      3. Just me: No other attendees will receive a meeting recap, and you will be the only person who can view the meeting recording.

    3. Do you want to generate meeting notes in Confluence? Only available if you have a seat in Confluence and Loom, and they share the same Atlassian Site.

      1. Yes: If selected, you will be required to select a default location where meeting notes will automatically be created for your meetings. You can also set different locations for individual meetings.

      2. No: No automated meeting notes will be generated for your meetings.

  6. Once you’ve made your selections, select Finish Setup to complete your calendar connection.

Step 2: Set up platform permissions

Different meeting platforms require specific settings to allow the Loom Notetaker to join and record.

For Zoom:

  1. Enable local recording and external participant recording permissions in your Zoom recording settings. If you can’t change this, contact your organization’s Zoom administrator.

  2. Ensure the meeting host or co-host is present and signed in to their associated Zoom account to to admit the Loom Notetaker bot when it requests to join.

    1. Unauthenticated participants will not register as being present, and the bot will not be admitted.

    2. If the meeting host or co-host will not be present on any meeting, another co-host must be added in advance to admit the meeting bot.

For Google Meet and Microsoft Teams:

Verify that there are no restrictions, such as CAPTCHA, preventing the bot from joining.

Please refer to Microsoft’s documentation for more details on the CAPTCHA feature.

If your scheduled meeting bot fails to join your meeting:

  1. Go to your Meetings page, then select Record a meeting.

  2. Enter the full meeting URL, then select Submit. Note: It will take approximately 30 seconds for the meeting bot to initialize and attempt to join.

Access your recordings

After a meeting ends, the recording is processed and stored in your account.

  1. Go to your Loom library.

  2. Filter your meetings by Video type and select Meeting recordings

  3. If you don’t see any of your meeting recordings, you may be in a different workspace than the one where your meetings are stored. Use the workspace selector on the top-left of your account to change the workspace you’re in.
