Resolving issues with multiple Loom Notetakers in a meeting

For scheduled meetings, one Loom Notetaker per external meeting on Google Calendar or Microsoft Outlook Calendar will be sent based on the auto-record settings.

There are ways that duplicated meetings can get created on these external calendars. In those cases, the duplicated meetings aren’t associated with each other (even though they may share the same video meeting URL). Each attendee will be considered each duplicate meeting’s “owner” and a Loom Notetaker may be sent for each duplicated instance where the auto-record setting is turned on.

One known way this can happen is on Google Calendar. If an event is created, then in the dropdown menu for that event “Publish event” is created, this will create a link that users can link to pre-fill a template for a new event, using the event details from the originating event. After the event is created, it is not associated to prior event - changes to the details of either event will not be reflected in the other.

The solution for this and other workflows that can create duplicate events is to always re-use the same event. If the event is internal to your organization, invite other participants to the event’s attendee list rather than creating separate events.

When multiple notetakers appear, you can remove all the duplicates from the participants list of the respective video meeting.
