Set up permissions for Goals app

In the goals app, access and edit permissions are currently set for each individual goal. There are a few controls to understand when giving specific access to a goal:

Access controls

Access controls are set on each individual goal. They are only effective when the user also has the matching group permission.

Owner

Full control of the goal and can assign access controls to others

Can edit

View the goal and edit any editable fields: name, description, target, owner

Users can also add other editors.

Can view

Read‑only access

The user can see the goal but cannot make changes.

Follower

Receives updates in monthly update feed and digest emails

No edit rights

How to set access controls

  1. Open the Goal you want to share.

  2. Select the Share button (top‑right).

  3. In the Specific access section, click the icon.

  4. Locate the person, team, or user group and choose Owner, Can edit, or Can view from the dropdown.

  5. Select Save.

Note: Adding a user through the Share by email flow automatically grants them the access level you select in step 4. Email addresses and Slack users cannot be assigned a role. They only receive a notification.

Sharing goals

Share by email

  1. Open the Goal.

  2. Select Share.

  3. Type the name, team, user group, or email address.

  4. Choose Can view or Can edit (applies to all selected recipients).

  5. (Optional) Add a custom message.

  6. Select Share.

Emails and Slack users receive a notification but cannot be assigned a role directly.

  1. Select the link icon next to Share to copy the goal URL.

  2. Paste the link wherever you need (email, chat, docs).

A link does not grant access. Ensure the recipient has the appropriate access control set on the goal.

Managing access controls for shared users

  1. Open the goal.

  2. Select Share then Specific access ►.

  3. Find the user in the list.

  4. Use the dropdown to change their permission or select Remove to revoke access.

Can an owner change the owner of a goal?

Yes. The owner can edit the Owner field in the goal details.

What happens if a user has the Can edit access control but no group permission to edit goals?

The access control is ignored; the user can only view the goal.

Are there “restricted” goals that hide from users without explicit access?

Currently all goals appear as “open” in the UI. Future releases will introduce restricted goals that require explicit Can view or Can edit access.
