Set up permissions for projects

  • Project permissions are currently in early access and only select customers have access. This feature will be rolled out to all customers later this year.

In the Projects app, access and edit permissions are currently set for each individual project. There are a few controls to understand when giving specific access to a project:

Above details will be read-only, but people with Can view access can still:

  • Change goal connections

  • Change focus area connections

  • Change Jira work item connections

  • Change related project connections

  • Add or remove followers

  • Add or remove tags

  • Changing connections to goals, focus areas, and work items requires the appropriate permissions in those apps.

  • If the project is private, followers can only be added if they already have access to the project.

Receives updates in weekly update feed and digest emails.

No edit rights, but can only follow projects they can view.

Each project has two access settings to let you manage permissions to view or edit:

  • General access lets you quickly provide all users can edit or can view permissions.

  • Specific access is where you can specify users that have can edit or can view permissions, and manage who is following a project.

Set general access

  1. Open the project you want to share.

  2. Select the Share button at the top‑right.

  3. In the General access section, select an option:

    1. Can edit allows anyone with app access to view and make changes to the project.

    2. Can view allows anyone with app access to view the project and take some actions listed in the table above.

Set specific access

  1. Open the project you want to change access to.

  2. Select the Share button at the top‑right. In the Specific access section, select the icon.

  3. Locate the person, team, or user group and select Can edit or Can view from the dropdown to change their permissions. You can also select Remove to revoke specific access.

A project can be shared with others, who will receive a notification via email.

  1. Open the project.

  2. [共有] を選択します。

  4. Choose Can view or Can edit (applies to all selected recipients).

Copy a project’s link to your clipboard to quickly share it anywhere.

  1. Select the link icon next to Share to copy the project URL.

  2. Paste the link wherever you need (email, chat, docs).

Note: A link does not grant access. Ensure the recipient has the appropriate access control set on the project.

Default access for new projects

Default access sets the starting permission for every new project created on your site. Owners and editors can change it on any individual project after it's created — this setting only affects what a new project starts with.

Change the default access

To change the default access for new projects:

  1. Select the Settings icon, then select Projects settings.

  2. Select the Access and permissions tab.

  3. Under Default access for new projects, choose an option:

    • Open — Can edit: Anyone with access to the Projects app can view and edit new projects.

    • Open — Can view: Anyone with access to the Projects app can view new projects. Only the creator and owner can edit.

The change applies immediately to any new projects. Existing projects keep their current access.

Who can change the owner of a project?

Both owners and editors can edit the Owner field in the project’s details.

Are there “private” projects that hide from users without explicit access?

Yes, but you can only make them private at creation. Currently, you cannot change an open project to a private project after it’s been created.

Access to private projects requires Can view or Can edit permission in the specific access section.

Can users always create, edit, or delete their own saved views for projects?

Yes. There are no permission restrictions on managing your own saved views. All users can create, edit, and delete their own saved views.
