How to share a Dashboard or Filter (i.e. make it public / change its Viewers and Editor permissions)

Summary

Dashboards and Filters can have different settings for both their Viewers and Editors. This article shows how to update these settings.

Solution

Prerequisite for sharing Dashboards and Filters

To change the Viewers and Editors of a Dashboard or Filter to anything other than Private, a user must have the Share dashboards and filters and Browse users and groupsGlobal Permission.

A user without the Share dashboards and filters permission will only see the Private option in the Viewers dropdown:

Under the Editors dropdown, they will see further options due to this bug. But if they select anything other than Private, an error will appear after clicking Save:

"You do not have permission to share. All shares are invalid."

Updating the Viewers and Editors of a Dashboard or Filter

1. Confirm you have the Share dashboards and filters and Browse users and groupsGlobal Permissions

2. Go to your Dashboard (YOUR_SITE_NAME.atlassian.net/jira/dashboards) or Filter (YOUR_SITE_NAME.atlassian.net/jira/filters) > Locate your Dashboard or Filter. If Editors is set to Private, you need to be the Dashboard's Owner (more on how to update the Owner, below) in order to make changes to its Viewers and Editors:

   

3. Click the three dots in the row of the Dashbord or Filter whose Viewers or Editors you wish to update. For Filters select Edit:

   

   For Dashboards select Rename or share dashboard

   

4. In the Viewers section, select from the Dropdown, search for a particular User / Group / Project etc, click Add and then click Save:

   

   The Editors sections functions in the same way. Side note: If you do not see any users when trying to search for them, double-check that you have the Browse users and groupsGlobal Permission.

Changing the Owner of a Dashboard or Filter

1. Confirm you have the Administer Jira and Browse users and groupsGlobal Permissions

2. Go to YOUR_SITE_NAME.atlassian.net/secure/admin/filters/ViewSharedFilters.jspa (Filters) or YOUR_SITE_NAME.atlassian.net/secure/admin/dashboards/ViewSharedDashboards.jspa (Dashboards)

3. Find the Dashboard / Filter whose Owner you wish to change and click the three dots in its row > Change Owner:
