How to list all Knowledge Base articles on the portal

Summary

Currently, Knowledge Base articles appear in the portal as "Suggested Articles" when creating a request, or the user must search for them.

The Feature Request below was raised for the ability to browse all articles in the portal:

Solution

You can use either of the two approaches below — they are independent alternatives that achieve the same result. Use Knowledge Base categories if you want the article list to live inside the portal itself, or the Portal Announcement approach if you want to link out to a Confluence space.

Add all articles to Knowledge base categories:

  1. In your service space, go to the Knowledge Base and click the plus icon (+) to add a New category.

  2. Once the category is created, click on Add article and add all relevant articles to the category.

    1. You can feature the article (it will be at the top of the category) if it suits you better.

To verify: open your portal, select the category you created, and confirm the articles you added are listed under it.

An alternative solution is to create a Portal Announcement with a link to your Confluence page:

  1. Create a space in Confluence (if you haven't already) to grant access.

  2. Link the created space in your space's Knowledge Base (Space Settings > Knowledge Base).

  3. Set the KB view to "all logged-in users."

  4. For visibility beyond logged-in users, set the corresponding Confluence Space Permissions (Space Settings > Space Permissions), including Anonymous Access for public access.

  5. After that, go to your portal's announcements (Space Settings > Portal Details > Manage portal announcements).

  6. Select the Portal announcement and add your announcement.

  7. After the KB is properly set, go to your Confluence space > Space Settings > Space Permissions and edit who can view your space. You can also set public access using Anonymous Access.

To verify: open your portal and confirm the announcement is displayed, then click its link and confirm the Confluence space opens for the intended audience (all logged-in users, or anonymous if you set public access).
