Administrator is unable to edit a custom field to add options under a Request Form in JSM Cloud

Platform Notice: Cloud Only - This article only applies to Atlassian products on the cloud platform.

Summary

A user who is a project admin or a user with administrator permissions is unable to edit a field added to a Request Form in order to edit the options/reorder existing options or add more options.

Solution

Behavior when admin tries to edit the Request Type

The field is not editable and the message "You can't change this option" is shown as seen below:

Interface for customizing a Maintenance type question on a facilities request form. It allows administrators to change the portal field name, add a description for customers, and use preset values that can be hidden from the customer portal.

New values also can't be added as the option is grayed out and the message "You can't add an option" is shown as seen below:

Default values added to the custom field

The user is trying to edit a custom field that has been added to the Request Form. The options seen in the Request Form are the values added to the custom field.

This is expected and even an admin user cannot edit the custom field from the Request Form to add new options.

Remove the default values so the field can be modified via Request Form

The custom field needs to be edited to add new options, and then those new values will show up in the Request Form. This can be done as explained below:

  • Select Cog Icon > Issues.

  • Under FIELDS, click Custom fields.

  • Search for the specific custom field and click > Contexts and default value > Edit Options.

Jira custom field configuration for "Maintenance type" showing options for Minor repair, Major repair, A safety hazard, and Replacement required. The applicable context is global (all issues).
  • Now, new values can be added or existing values can be modified/reordered as shown below:

Jira administration interface for editing the options for the Maintenance type custom field. The current options are Minor repair, Major repair, A safety hazard, and Replacement required. Each option can be edited, deleted, or disabled, and their order.
  • The new value added earlier will now be reflected in the Request Form as also seen below:

Jira's request form configuration for the "Maintenance type" field. Options include Minor repair, Major repair, A safety hazard, Replacement required, and a new value. The Replacement required option is set as the default. The field is currently hidden.
