How to change Google Apps Domain in Atlassian Cloud instances

Summary

Learn how to change the Google Apps domain integrated with a cloud instance to a new Google Apps domain, for example, olddomain.com to newdomain.com.

Solution

Most of the changes will be made on Google's side. A Google Workspace user sync is recommended before and after making changes on the Google side.

Following these steps will ensure avoiding the creation of duplicate users.

  1. Access to your Atlassian Organization at admin.atlassian.com and sync users before making any changes on the Google side (this will ensure users' details are up to date)

    1. You don't need to disconnect Google Workspace

  2. Go to your Google console through https://admin.google.com

  3. Add and verify the new domain as shown in the screenshot below https://support.google.com/a/answer/7502379?hl=en

  4. Update users' emails as shown in the screenshot below

  5. After updating all users, wait a few minutes, and go back to your Organization at admin.atlassian.com and sync users again.

  6. Users can now connect to any product using their new email address and their old password.

  • These steps will update the Atlassian account, which will update the access to the different products (you only have to do this once if you have Jira, Confluence, or Bitbucket).

  • Users who will try later to access products with the old email address will not be able to. Access is possible only with the new domain email address.

  • All the history is under the same Atlassian Account and is accessible through the new domain email address.

  • You don't need to set the new domain as the primary domain.

Warning: If the target email address is already used on another Atlassian account and that Atlassian account has the same Google ID assigned, the end user's email address will be modified to username+conflict@domainB.com.

If no Google ID is assigned to the conflicting (duplicate) Atlassian account, then the org. admin UI will show a warning: "Unable to sync email address from Google Workspace."

  • Select Review email address to download a CSV containing the conflicting email addresses.

    • The CSV displays the target email address. The target email address assigned to the duplicate Atlassian account would need to be updated to something else, for example, username+duplicate@domainB.com, so the target email address becomes available.

  • Select Sync now to run an on-demand sync to update the sync records and resolve the warning banner.
