Resolve the managed by a position that doesn't exist error

You may see the error Position with external ID <external ID> is managed by a position that doesn't exist in Atlassian Administration when syncing position and supervisory organization data from your HR system.

This error means that a position in your data references a manager position that is missing or not set up correctly. The issue can be caused by a configuration problem or a sync issue between your HR system and Atlassian.

How to resolve the error

To resolve this error, verify that both the affected position and its manager exist and are correctly referenced in your reports.

1. Open your Position and Supervisory Organization reports.

2. In the Position report, search for the external ID mentioned in the error message. Make sure a position exists with a matching positionId value.

3. Copy the supervisoryOrganizationId value for that position.

4. In the Supervisory Organization report, search for a supervisory organization with an organizationId that matches the supervisoryOrganizationId you copied.

   • If you do not find a matching supervisory organization, update the Supervisory Organization report to add the missing organization, or update the affected position to reference a valid supervisoryOrganizationId.

   • If you find a matching supervisory organization, continue to the next step.

5. In the matching supervisory organization, find the managerPosition value in the positionsAssignedToManager array. For example:

   { ... "positionsAssignedToManager": [ { "managerPosition": "abcdefg" } ] }

6. In the Position report, search for a position with a positionId that matches the managerPosition value you found.

   • If you do not find a matching position, update the Position report to add the missing position, or update the affected position or supervisory organization to reference valid values.

   • If you find a matching position, your reports are configured correctly.

Additional notes

• Make sure your HR data exports include all referenced positions and supervisory organizations.

• If you continue to see this error after correcting your data, check your sync logs for additional details or contact Atlassian support.
