Share Confluence Cloud Whiteboards with external users

Summary

Confluence Cloud provides two main ways to share Whiteboards with people outside your organization. You can share a Whiteboard using a Public Link, or by inviting external users as a Confluence Guest. We'll explore both of these options in more detail.

Solution

Share a Whiteboard with a public link

Public links allow anyone on the internet to view (or, if enabled, edit) a Whiteboard, without needing a Confluence account.

  1. Open the Whiteboard you want to share.

  2. Click Share in the top right.

  3. Toggle on Public link at the bottom of the window.

  4. Copy and distribute the link as needed.

Considerations for public links

  • This feature is available only on paid Confluence plans (Standard, Premium, Enterprise).

  • Anyone with the link can access the Whiteboard, and if “Can edit” is enabled, they can make changes in real time.

  • Visitors will appear as “Anonymous.”

  • Turning off the public link immediately revokes access.

  • Public links bypass internal view restrictions—share with caution.

  • If you don’t see the public link option, your admin may have disabled it or you may lack permissions.

Invite users as Confluence Guests to view Whiteboards

Guests are a special user type for external collaborators (e.g., partners, contractors, clients) who need access to a specific space, including Whiteboards within that space.

  1. An admin invites the external user as a Guest via Atlassian Admin.

  2. Assign the Guest to the relevant Confluence space.

  3. Guests can then access and collaborate on Whiteboards and other content in that space.

Considerations for Confluence Guests

  • Guests can't use Confluence at all until they are assigned to a space.

  • Guests are free (up to 5 per paid user) and can only access one space at a time.

  • Permissions are tightly controlled by admins.

  • Guests cannot see the people directory or access other spaces.
