Take notes from anywhere in Confluence with Private Notes

This feature is currently only available to select participants of an experimental Early Access Program (EAP).

 

With Private Notes, you can create or access notes from nearly anywhere in Confluence. Designed to be personal-by-default and lightweight, Private Notes allows you to jot down that list of to-dos or sudden brilliant idea without having to create, restrict, or move a page first.

You can instantly start a new private note from anywhere in Confluence, except while editing a page or blog. Private notes remain accessible and searchable from their unique location on the main navigation bar, and cannot be seen by, or inadvertently shared with, anyone else but you.

 

To create a private note:

  1. Select the Private Notes icon from the navigation (between Search and Notifications.) A collapsible notes panel will appear on the right.

2. At the top of the panel, select the blue +. A new private note will appear.

3. You can input text immediately into the body of your new note. Titles are optional.

4. To collapse the sidebar, select the Private Notes icon again.

There’s no need to worry about saving, as your private note will auto-save every 2 seconds, and keep track of the date and time of its last update via timestamp.

 

To access your private notes:

Select the Private Notes icon from the navigation (between Search and Notifications.)

To delete a private note:

  1. In the private notes sidebar, select the private note you want to delete.

  2. From the More actions menu () at the top right, select Delete.

  3. Confirm that you’d like to delete this private note. Deleted private notes cannot be recovered.

To expand and contract the size of a private note:

Expand or contract the size of your note by selecting or from the top right corner.

To search for a private note:

Private notes are only searchable by you from their unique location on the main navigation bar. Your private notes will not appear in any other searches within Confluence.

  1. Select the Private Notes icon from the navigation.

  2. When the collapsible notes panel appears on the right, select the Search icon () at the top right, next to the + button. A search field will appear.

  3. Type a keyword or series of keywords into the search field.

  4. Results will automatically populate, or you can press Enter or Return.

  5. Results will be sorted by recency.

To do even more with your private note:

Private notes are capable of so much more than mere text editing.

Inside the body of your private note, type / to bring up the insert menu for the following:

Action item

Add a checklist item or list of checklist items that can be checked off as they are completed. To keep things private, mentions aren’t available and thus notifications will never be triggered.

Code snippet

Format source code with numbered rows and syntax highlighting based on the language you choose.

Date

Make a date stand out with grey background; the default date format is Mon DD, YYYY.

Decision

Emphasize a distinct decision made for a project or by a team by adding a grey background panel and a green icon.

Heading

Format text to represent the hierarchy of information on a page.

Panel

Emphasize information by choosing a preset panel type to consistently communicate ideas like info, note, error, success, and warning. The preset types include an emoji and a background color.

In addition to the five preset panel options, you can customize panels by choosing one of the 20 background colors available. Panels can have emojis, or you can remove the emoji to meet the needs of your content. The emojis available to you are the same set that you already use in Confluence; this includes custom emojis you and your teammates have added.

Status

Highlight text to stand out on the page and choose the background color that fits its meaning.
